Privacy first.
Health privacy laws in many countries can apply to review replies. Write as if anyone could read the reply next to the patient's name, because they can. If you're unsure, check with your compliance adviser.
- Talk about "our patients" in general, never "your visit" or "your treatment".
- Don't mention appointment dates, diagnoses, medication or test results.
- Move every specific conversation to a phone call with a named person.
Waits and front desk.
Most clinic reviews are about waiting times and phone access, not medical care. These you can reply to openly, in general terms: say what you're doing about waits or phone lines.

Reviews and replies.
5-starKind nurse
Review (example)
The nurse was so gentle with my daughter, she wasn't scared at all.
Example reply
Thank you for these kind words about our team. Helping young patients feel safe matters to all of us, and we'll share this with the nurses.
Why it works: Confirms nothing about the daughter or the visit.
2-starLong wait
Review (example)
Waited 75 minutes past my appointment time.
Example reply
We're sorry. Long waits are frustrating, and we're working to reduce them, including [real change, for example: text updates when the clinic is running late]. Please call our practice manager at [phone] if you'd like to talk.
Why it works: Doesn't confirm an appointment existed. General fix.
1-starRude receptionist
Review (example)
Receptionist was rude and dismissive on the phone.
Example reply
Thank you for telling us. Everyone who calls should be treated with patience and respect. Our practice manager would like to hear more: [phone].
Why it works: Takes it seriously, no details, no defence.
