Google review response templates, by star rating
A reply to a 5-star review and a reply to a 1-star review do different jobs. Pick the rating you're answering, take the structure, and fill it with what actually happened.
Pick the rating you're replying to.
| Rating | What the reply has to do | Template |
|---|---|---|
| 5 stars | Thank them for something specific, invite them back | /templates/5-star-review-response |
| 4 stars | Thank them, notice the small thing that held back a star | /templates/4-star-review-response |
| 3 stars | Credit the good part, own the bad part, say what changes | /templates/3-star-review-response |
| 2 stars | Apologise for the specific miss, offer a direct contact | /templates/2-star-review-response |
| 1 star | Stay calm, own what's true, move it offline | /templates/1-star-review-response |
The one structure under all of them.
- Thank them, by name if Google shows it.
- Repeat one concrete detail from their review: the dish, the stylist, the room, the wait.
- Respond to that detail. For praise, say why it matters to you. For a complaint, own it in one sentence.
- If something changes because of the review, say what.
- Close with an invitation back, or a real name and contact for a bad experience.
Why a template alone isn't enough.
Customers read your replies to other people. When every reply says "Thank you for your feedback, we value your business", readers notice and stop believing any of them.
Use the templates for the shape and the order. The words that matter, the detail and the fix, have to come from the review in front of you. That's the part ReplyPlate's free generator drafts for you, and the part you should always check.
Questions
Common questions.
Should I reply to every Google review?
If you can, yes. Google's own Business Profile help says replying shows customers you value them. Short is fine. A two-sentence reply that names a detail beats silence.
Can I use the same reply for several reviews?
You can, but it shows. People scroll through replies, and copy-paste answers make the whole page look automated. Change at least the detail and the closing line.
How long should a review reply be?
Two to four sentences for most reviews. A complaint can take a little more, but long defensive replies read worse than short calm ones.
Draft replies right on the review page.
The ReplyPlate Chrome extension writes a first draft; you read it and post it.
