Membership complaints.
Cancellation and billing reviews are where gyms lose trust. Don't quote the contract back at them in public. Say how cancelling works in one plain sentence, and offer a named person to sort it out.
- Explain the rule once: "Memberships cancel with 30 days' notice at the front desk or by email." Use your real rule.
- Don't share their account details, attendance or payment history publicly.
- If the rule itself is confusing, say you're making it clearer, and do it.
Classes and coaches.
- Credit the coach by name.
- Crowded classes: say what you're doing (a cap, a waitlist, an extra session).
- Equipment broken: say when it gets fixed, if you know.

5-starCoach praise
Review (example)
Sam's Tuesday HIIT class got me back into exercise after a long break.
Example reply
That's brilliant to hear. Sam will be chuffed, and coming back after a break is the hardest part. See you Tuesday.
Why it works: Credits Sam, celebrates their effort.
1-starCouldn't cancel
Review (example)
Tried to cancel for 2 months and they kept charging me.
Example reply
I'm sorry, that's not OK, and I want to fix it. Memberships should cancel with [your notice period] by [method]. Please email me directly at [email] and I'll look at your account myself today.
Why it works: States the rule plainly, takes ownership, no account details in public.
3-starToo crowded
Review (example)
Good equipment but 6pm is packed, waited for every rack.
Example reply
Thanks, and fair point. 6 to 7pm is our busiest hour. We're adding a second squat rack this month. Before 5pm and after 8pm are usually quiet.
Why it works: Concrete fix, practical tip.
