How to respond to negative reviews

A bad review stings, and the first reply you write is usually the wrong one. Wait, then use a simple structure that protects you in front of every future reader.

The reviews below are made up. Change names and details to match what really happened before you post anything. Draft one for your real review with the free generator.

Four parts, in this order.

  1. Apologise for the specific thing they experienced.
  2. Own what's true. If you're not sure what happened, say you want to find out.
  3. Say what you've changed, if anything has.
  4. Give a real name and contact to continue privately.

Never say.

  • "Sorry if you felt…" It apologises for their feelings, not your mistake.
  • "That's not our policy" or "No one else complained".
  • Anything about the customer's behaviour, order history or identity.
  • "Please remove this review."

Unfair or fake?

If a review is false, keep the reply short and neutral, and flag it for removal through your Business Profile. Readers trust calm owners more than right ones.

Examples

Negative review response examples.

  1. 1-starLong wait, rude reply

    Review (example)

Waited an hour, then the server rolled their eyes when we asked.

    Example reply

I'm sorry, both for the hour wait and for how you were treated when you asked. Neither is okay. I've talked with the team about it. I'd like to hear more if you're willing: [email]. Sara, manager.

Why it works: Owns both parts, no excuses, signed.

  2. 2-starOvercharged

    Review (example)

Got charged for a treatment I didn't have.

    Example reply

I'm sorry, that's worrying to see on a bill. Please contact me at [phone] and I'll check the payment and refund anything that shouldn't be there today.

Why it works: Moves money talk offline, commits to action.

  3. 1-starDisputed facts

    Review (example)

They refused to honour my booking.

    Example reply

I'm sorry your evening went this way. I want to understand what happened with the booking. Please reach me at [email] so I can look into it.

Why it works: Doesn't argue in public, even if you think you're right.

Questions

Common questions.

Should I reply to a negative review at all?
Usually yes. Silence lets the review be the only voice. A calm reply shows future customers how you handle problems.
How quickly?
Within a day or two if you can, but not while you're angry. A calm reply tomorrow beats a defensive one now.
